After 5 Years of Office Purchasing, I'm Done Chasing the Lowest Quote

I've been the office administrator for a 250-person company since 2020. I manage roughly $400,000 in annual purchasing across 30+ vendors — everything from printer toner to the backup generator that keeps our small data closet running. And after five years of this job, I have a strong opinion: the cheapest quote is almost never the cheapest option.

I know that sounds like a cliché. But I've lived it. In my experience, the lowest bid has cost us more in the long run at least half the time — sometimes a lot more. I'm going to walk you through three examples from my own purchasing history, including my own mistakes.

The backup generator is where I stopped trusting low bids

We run a small data closet — two server racks, network gear, and the cooling that keeps it stable. When the power goes out (more often than you'd think), operations grind to a halt. So in late 2023, I was asked to source a backup generator.

Now, I'm not saying Caterpillar is the only brand worth buying. We evaluated several others and some looked perfectly capable. But when I compared total cost of ownership — base price, installation, maintenance, fuel, and the cost of it failing when you need it — the cheap bids stopped looking cheap.

The $89 dishwasher board that cost $260

Around the same time, the break-room dishwasher died. A repair tech said it needed a control panel. The official frigidaire dishwasher control panel replacement was around $160 (based on online parts retailer quotes, early 2025 — prices vary). I found a "compatible" replacement online for $89.

I knew I should have checked the firmware compatibility. But I thought, "what are the odds?" Well, the odds caught up with me. The board powered on but wouldn't communicate with the door lock. Three weeks of shipping returns later, I bought the official part and paid for a second labor visit. The $71 in "savings" turned into roughly $250 in extra cost — plus two weeks of hand-washing dishes in the office kitchen.

Surge protectors and power strips are not the same thing

This one still stings. During an office walkthrough in 2024, I counted eleven workstations plugged into plain power strips. The people at those desks thought they had surge protection. Then a lightning strike near our building sent a spike through the office wiring. One computer was fried. Another developed mystery crashes that took IT weeks to diagnose.

The difference between surge protector and power strip is straightforward: a power strip is just extra outlets — it does nothing when voltage spikes. A surge protector uses a metal oxide varistor (MOV) to clamp the spike, and if it's legit, it has a UL 1449 rating printed on the label. If it doesn't say UL 1449, treat it as a power strip.

We didn't have a formal standard for desktop power equipment before that strike. Cost us a $1,400 workstation plus a serious amount of IT time. Now every desk gets a UL-rated surge protector — about $25 each, roughly $300 for the rollout (actually closer to $400 because I bought extras for the conference rooms). The math is not hard: $400 once versus $1,400 every time lightning wins.

But what about the budget?

To be fair, I understand the pressure to take the lowest quote. I report to finance. I've had to explain why we spent more on a generator than the cheapest bid, and those conversations got uncomfortable. Budgets are real, and saving money upfront looks great in a quarterly review.

But the cost of being wrong is worse. I know because I've lived it. The dishwasher board. The power strips. The generator bid that didn't include commissioning. Every one of those "savings" came back as a problem that cost more — in money, in time, in credibility. I once approved a vendor based on price alone, and their handwritten receipts got a $2,400 expense report rejected by finance. I still kick myself for that one.

So if you ask me, the question isn't "what's the price?" It's "what will this actually cost over the next three years?" The cheapest quote asks you to ignore that second question. I've stopped ignoring it. And I've started sleeping better during storm season.
